The Tournament Director's Guide

From sign-up to championship, step by step.

Everything below happens in your browser — nothing to install. Most directors are fully set up in an afternoon, and your dashboard shows this same checklist and ticks it off as you go.

Before game day

Set it up

Steps 1–2 happen once per organization. Everything else is per tournament — and your dashboard's Tournament setup checklist tracks it for you.

1
kanonuevents.com

Get your access

Tell us about your organization in the get-started form. We review every request personally — you'll get a welcome email with your sign-in link, usually within a day.

Sign in at console.kanonuevents.com with the email you applied with. Google works, and so does any other address — use "Email me a sign-in link."

2
Dashboard → New event & floor

Create the tournament

From your dashboard, open New event & floor, then + Create a new event. Choose the type Team tournament, name it, set the date, your entry fee per team, and the overall team cap — the whole field, across all divisions.

The moment you hit Create you get your door check-in PIN on screen and by email, along with every link in this guide pointed at your event.

The overall cap is the ceiling for the whole tournament. Four divisions of 50 teams need an overall cap of 200. Per-division caps come next.
3
Schedule manager → Setup

Set divisions & entry fees

Open the Schedule tile and add each age group — 10U, 12U, 14U — with its own entry fee and team cap. Save the setup.

A division's entry fee is what captains actually pay at registration — edit fees deliberately. Once teams have paid, a division with sales can't be removed.
4
Schedule manager → Setup

Add your fields & hours

Enter every field and when it's open — Saturday 8:00 AM to 9:00 PM, Sunday from noon, whatever your venue really allows. Set the changeover time between games and the minimum rest a team gets between its own games.

All times are read in the event's own timezone, not your laptop's, and echoed back so a wrong hour is obvious.

5
Your public registration page

Open registration

Share your registration page — it's linked in your created-event email and on your dashboard. Captains pick their division, register their team, and pay by card, Apple Pay, or Google Pay. Slots show live, a full division closes itself, and every team gets an entry number and a QR check-in pass by email.

The service fee is added at checkout and paid by the captain — your organization keeps 100% of the entry fee, paid straight to your bank.

Paid registrations need your bank connected first — the Set up payouts card on your dashboard walks you through Stripe's 10-minute verification.
6
Schedule manager → Generate

Generate the schedule

One click builds pools from your registered teams (snake-seeded by entry order), every round-robin game, and the bracket games — then places all of it on your fields at real times, with rest and changeover respected and conflicts checked by an independent engine before anything publishes.

If the weekend genuinely doesn't fit, it tells you exactly what doesn't — "this division needs about 8 field-hours and its fields have 3" — and saves nothing broken.

7
Schedule manager → Officials

Build the referee crew (optional — and included)

Add each official once: name, contact, certification level, availability windows, eligible divisions, and a max games per day. Then assign games straight from the schedule grid — double-bookings, missing rest, travel time, and availability are all checked as you assign.

Contact details stay private to staff; they never appear on the public schedule. And there's no premium tier — officials management is part of the standard rate.

8
Dashboard → Team & access

Invite your scorekeepers

From your dashboard's Team & access card, invite your score-entry volunteers with the Scorekeeper role. Each gets their own sign-in — enough access to post scores from a phone at the field, and nothing more. Your board's credentials stay with the board.

On game day they open the Scorekeeper page, tap a game, enter the score — standings, advancement, and brackets recompute automatically on every screen.

Game weekend

Run it

9
Check-in page + your door PIN

Scan teams in — and let families follow along

Door volunteers open the check-in page on any phone, enter your door PIN (it was in your created-event email, and your dashboard can re-send it), and scan QR passes — one admit per pass, with a live tally.

Families need nothing but a link: the event page shows the schedule by day or field, live brackets, announcements, and where and when their team plays next. The free Kanonu Events app is optional for anyone following a team all weekend.

10
Schedule manager → Rain tools

If it rains, don't rebuild — press the button

Slide everything later for a short delay, or run the rain cascade when play stops and fields reopen: games already played keep their exact slots, everything else is rebuilt from the reopening time, and referee assignments move with their games and get re-checked automatically.

Every phone in the stands updates instantly. Nothing that creates a conflict is ever saved without asking you first.

+
Fundraising console

Raising money the same weekend?

If your tournament is a fundraiser, run a silent auction with mobile bidding, one-tap donations, and a live thermometer alongside it — same platform, no second vendor, no extra software fee. It's what Kanonu was built for.
